We are committed to protecting your personal information. We want your interactions with us to be safe and enjoyable. This Privacy Notice describes how we collect and use personal information about you during and after your relationship with us.

BBC Children in Need will collect and process the personal information that you have provided to us about yourself during your interaction with the BBC Children in Need Sim Rig Tour.  Your information will be collected by our sub-contractor, SimStaff Ltd (“SimStaff”) who will share the information you provide with us, on a confidential basis, for the purpose of organising the tournament, ballot and live show.
This personal information is your name, email address (or name and email of your parent/guardian if you are 16 or 17 years old) and your player name.
The personal information will be processed for the following purposes:
  • 1. playing in the tournament;
  • 2. entering you into a ballot if you are one of the 50 fastest drivers, to be considered for an invitation to the BBC Children in Need live show (“Live Show”); and
  • 3. if you tick the box to opt in to receive a survey from BBC Children in Need, you will be contacted within two weeks of collecting your information in order to complete the survey (“Survey”).
Please note if you are successful in the ballot, we intend to carry out age related checks and production and editorial checks to  participation in the Live Show. In this case we will ask you to read another privacy notice prior to this processing and sign release forms.  We will then confirm if these checks are completed successfully, you will be invited to the Live Show to compete in the studio on the Sim Rig against the other finalist.
When you provide information to us, BBC Children in Need is the data controller of your personal information and we are registered with the Information Commissioner’s Office with registration number Z1523450.  BBC Children in Need is a company limited by guarantee (number 04723022) and a charity registered in England and Wales under number 802052 and in Scotland under number SC039557.
The legal basis on which BBC Children in Need processes your personal information is that it is in our legitimate interests to run the tournament, ballot and Live Show.  Where you have opted in to the survey, the legal basis for this processing is consent.  You can change your contact preferences or withdraw your permission at any time by emailing [email protected] or calling 0345 609 0015.  Further information about how we process your personal data can be found at https://www.bbcchildreninneed.co.uk/legal/privacy-policy/ .
We do not believe this unreasonably impacts on your rights and freedoms.
As the Live Show is produced by the BBC we may share your information with the BBC and other BBC Group Companies including BBC Studios Limited and BBC Studios Productions Limited (known as BBC from now on).
Unsuccessful ballot – If you are entered into the ballot and are not successful in being randomly selected to race at the Live Show we will retain your information for 3 months or until we have verified the two finalists for the Live Show and then your personal information will be deleted.
Successful ballot – If you are randomly selected in the ballot to participate in the Live Show, we will retain your personal information until 3 years after the Live Show.
Survey – You will be asked by Sim Staff Ltd whether you agree to BBC Children in Need contacting you to ask you to complete a Survey.  The Survey will be sent to you within 2 weeks and the reports received anonymously will be analysed and reported by BBC Children in Need.We will retain your name and email address for the purpose of sending you the Survey for 3 months and this information will then be deleted.  Any data received through the Survey responses will be deleted after 3 years.  No personal data will be held with the responses.

Terms and conditions

By participating in the tournament and entering the ballot you are deemed to accept these T&C.  If you do not accept these T&C, please do not participate.
  • 1 Eligibility
    • 1.1 This tournament is only open to UK residents who are 16 years old or over at the date of entry. Participants must be at least 16 years old to enter.  If you are under 16, you must not take part.  Anyone under the age of 18 must have parent/guardian’s consent and you must ask them to provide their contact details on the entry form instead of yours.
    • 1.2 We will ask you to confirm your age before taking part in the tournament to ensure you are eligible but you will not be asked to provide your date of birth or show identification, unless you win the ballot (see below).
    • 1.3 While participation in the tournament is open to all eligible individuals, making a donation to BBC Children in Need is voluntary and not a condition of entry. Additionally, participants will be asked if they would like to receive a survey from BBC Children in Need later in the year regarding the Sim Rig activation. Opting in or out of the survey is completely optional.
    • 1.4 The tournament is not open to employees (or members of their immediate families) of BBC Children in Need, Formula 1 or the BBC, or any other person professionally connected with this promotion.
  • 2 How to enter
    • 2.1 Entries into the tournament open on Friday 7th July 2023 and will close at midnight on Saturday 21st October 2023.  Entries must only be in person at one of our tournament locations and on the sim rigs provided by our partner SimStaff Ltd (“SimStaff”).
    • 2.2 There is no limit on the number of times a person can participate but only one entry per person will be included within the ballot (see below).
    • 2.3 All participants must comply with the Code of Conduct set out below.
    • 2.4 Upon arrival, participants will be instructed on how to play the game by a SimStaff representative and will be offered a headset to wear for an immersive experience.  Times will not be counted/discounted if a driver chooses to wear/not wear the headset.
    • 2.5 Each participant will have three in-game laps to record their fastest lap time in the F123 game.
    • 2.6 The timing will begin when they cross the line to start Lap 1, and their final time will be  logged the moment they complete their third lap and the game starts onto lap four.
    • 2.7 Any additional laps attempted by a participant will not be considered for the tournament and may result in their entry being invalid.
    • 2.8 At the end of their three attempts, participants can submit their fastest qualifying lap into the ballot (see further below) by providing their highest score, email address, and driver name to a Sim Staff representative.
    • 2.9 Penalties and other instructions may be automatically issued by the game to participants who break certain on-track rules (including the Code of Conduct).  Participants must follow any such instructions as directed by the game. Penalties applied by the game shall stand and are not open to review or appeal.
    • 2.10 In cases where a participant has broken a rule, including, but not limited to, during the hotlap session, then that participant r may have their respective lap time deleted from the timing classifications by the game and/or receive removal from the tournament. This decision is final, and will not contribute towards the fastest lap.
    • 2.11 If a participant does not have any valid laps, then their entry will not be counted towards the tournament.
  • 2.12 The tournament will be managed using the in-game Time Trial mode, which ensures equal performance for all cars by utilizing the default setup and a dry circuit. The following assists will be set to the Amateur mode:
  • ● Steering Assist (off),
  • ● Braking Assist (Medium),
  • ● Anti-Lock Brakes (On),
  • ● Traction Control (Full),
  • ● Dynamic Racing Line (Full),
  • ● Dynamic Racing Line Type (3D),
  • ● Hi-Vis Racing Line (Off),
  • ● Gearbox (Automatic),
  • ● Pit Assist (On),
  • ● Pit Release Assist (On),
  • ● ERS Assist (On),
  • ● DRS Assist (On).
  • ● Camera Mode (TV Cam)
  • ● Brake Bias and Differential (Open)
Any modification of these assists will not allow the lap time to be added to the results.
    • 2.13 All decisions regarding the interpretation of these rules, the tournament, results, and penalties for misconduct, lie solely with BBC Children in Need and Sim Staff whose decisions are final. Decisions cannot be appealed and shall not give rise to any claim for monetary damages or any other legal or equitable remedy.
    • 2.14 BBC Children in Need and Sim Staff will not be responsible for any entries that are not received by it for any reason, by the closing date, whether lost, delayed, corrupted or otherwise, and whether or not due to any technical difficulties or malfunctions.
    • 2.15 You retain ownership of your lap time submission.  By submitting your lap time, you grant the BBC Children in Need and its partners the right to use and publish your laptime on the leaderboard and for promotional purposes related to the tournament.
  • 3 Code of Conduct
    • 3.1 We consider sporting values: including fair play, respect, equality and spirit of competition to be integral to the BBC Children in Need Sim Rig Tour.  Participants must honour, adhere to and promote these values at all times when participating.
    • 3.2 No forms of cheating, gameplay, gamesmanship or gaining an unfair advantage in any way will be tolerated. This includes, but is not limited to:
  • ● Hardware modification; Any modification made to a piece of hardware allowing it to function in a way the manufacturer did not intend. This includes, but is not limited to, adding to or removing anything from hardware as supplied by the manufacturer (or provided directly by SimStaff Administration) for the purposes of participating in the tournament which has not been approved by SimStaff.
  • ● Hacking; Any modification made to the game or other software (other than by way of standard software patches or updates as may be issued from time to time) or unauthorizsd activities that seek to compromise hardware or software used by a participant as part of the tournament.
  • ● Exploiting game glitches; Intentionally using any in-game bug to seek an advantage. A bug is defined as any game function or behavior that, in the sole determination of SimStaff, is not intentional or functioning as the developer intended.
  • ● Impersonation; and playing under another driver’s account. Soliciting, inducing, encouraging or directing someone else to play under another driver’s account. Presenting yourself as another person or under a false identity. Acting on behalf of another person without approval from an Official and/or prior notification.
  • ● No bribery, collusion or match fixing between drivers, entrants or friends/family/colleagues.
    • 3.3 BBC Children in Need reserve the right at any time to disqualify any participant found to be in violation of any of these terms and conditions, has engaged in any form of unfair play or acted fraudulently in any way. Disqualification may result in the removal of the participant’s lap time from the leaderboard and exclusion from the tournament.
  • 4 Ballot
    • 4.1 Upon closing of the tournament, the participants with the fastest 50 lap times will automatically go into a ballot. Participants cannot secure multiple slots in the ballot. Only their fastest lap time will be recorded.
    • 4.2 Times will be logged as X:YY.ZZZ to give variance between participants.
    • 4.3 If participants attain exactly the same time they will all enter the ballot and take up one of the 50 time slots each. In the event of a tie for the 50th fastest lap time, all drivers who achieve that time will be entered into the ballot for the 50th position.
    • 4.4 Two people will be selected at random using a digital generator at approximately 9am on 23rd  October 2023 and contacted by email that same day. If, after reasonable attempts at contact have been made, the winner does not respond in order to claim the prize within 3 working days (being Monday to Friday), BBC Children in Need  reserves the right to run the run the digital generator again in order to find another person to attend the Live Show (which is described in 5.1 below), and so on until two people are selected and verified to attend the Live Show.
    • 4.5 If a winner is aged 16-18, they will need consent from a, parent or guardian to take part in the Live Show and must be accompanied by a parent or guardian at all times.
    • 4.6 Each winner must:
  • · be available for filming for the Live Show at Confetti X in Nottingham on 10th November 2023 (or such other date or place as may be notified to the winner in advance if the filming time changes due to reasons outside BBC Children in Need’s control);
  • · agree to take part in any filming, radio interviews, broadcast and publicity relating to the tournament if required (any filming/recording will take place between 19th October and 19th November 2023). This may include for BBC Children in Need Appeal Show, BBC radio, or other BBC or BBC Children in Need or programming or related websites and/or social media (these are not guaranteed though).
    • 4.7 These individuals will then undergo production and editorial checks by BBC Studios and BBC Children in Need who reserve the right to choose who is invited to the Live Show (please see Promotion and Publicity below for more details).
    • 4.8 Details of the winners can be obtained after 31 October 2023 by writing to BBC Children in Need at the address stated below.
  • 5 Prize
    • 5.1 The prize is the opportunity for each winner to take part in a live show to be filmed and broadcast on BBC iPlayer where they will race on a sim rig against other competitors (the “Live Show”).  They will race on the new Las Vegas track in the F123 game. Conditions will be standardized for all drivers.
    • 5.2 The prize includes:
  • · off peak return standard train travel from anywhere within the UK plus transport from the train station to the studio upon arrival (but not return); and
  • · one night’s hotel accommodation (booked by the BBC) for each winning participant; plus
  • · if a winner is aged 16-18, the prize also includes an adult’s off peak standard return train and hotel accommodation (booked by the BBC), to accompany them (based on two people sharing a double or twin room).
    • 5.3 For the avoidance of doubt, unless expressly stated in these terms, no other expenses, costs, fees or other sums will be paid by us including, without limit, any additional hotel charges.
    • 5.4 In the event of filming, any mobility issues or specific needs should be declared in advance so we or the BBC can ensure that any assistance that may be required (for example accessibility or mobility issues for studio filming) can be arranged in advance.
    • 5.5 If for any reason, the Live Show is cancelled, there is no substitute available.
    • 5.6 The prize is not transferable. No part of the prize is exchangeable for cash or any other item. The prize may not be claimed by a third party on your behalf and BBC Children in Need does not accept any responsibility if you are not able to take up the prize.
  • Promotion and Publicity
    • 6.1 By entering, participants agree that, BBC Children in Need and the BBC may publicise their name and county if they are a winner.
    • 6.2 If you object to any or all of your surname, and county being published or made available, please contact BBC Children in Need using any of the methods set out below with URGENT BBC Children in Need Formula 1 Sim Rig Tour Ballot. In such circumstances, BBC Children in Need must still provide the information to the Advertising Standards Authority on request.
    • 6.3 We cannot guarantee that the winner will be filmed or featured in publicity in any way other than on the Live Show and we and the BBC are not obliged to film or use any film, material or other content in any way.
    • 6.4 The above travel and hotel costs are only in relation to any filming for the Live Show. If the BBC contact you in relation to filming for anything else or in regard to the tournament in general and you agree to take part, expenses will be agreed between you and the relevant BBC programming team on a case by case basis.
    • 6.5 We and the BBC may carry out verification checks on the proposed winners and ask you about any criminal convictions and offences (including any civil cases, allegations or investigations that are being carried out).  It is important we are aware of anything in the winner’s background that could have the potential to bring the BBC, BBC Children in Need or the tournament into disrepute.  Subject to the outcome of these searches, we  may also carry out further verification checks using a third party who also carries out verification checks via publicly available sources. The outcome of these verification checks could inform who we invite to take part in the Live Show.  For full information please see the Privacy Notice.
    • 6.6 The winner will also be required to sign a BBC and/or BBC Children in Need Personal Declaration Form.  Additional questionnaires, release forms and declaration forms may need to be completed.
  • General
    • 7.1 Depending on the age of the winner, the BBC or we will obtain appropriate child licences for winners if deemed necessary. Parents or guardians will be required to provide appropriate documentation to assist if licensing is required. If after reasonable attempts we or BBC cannot acquire this documentation, the winner may be disqualified.
    • 7.2 We reserve the right to disqualify any winner if they cannot take up any element of the prize, cannot undertake the filming/recording for the Live Show above or licences cannot be obtained.  We reserve the right to offer that position to the next best entry.
    • 7.3 We may cancel the tournament or Live Show at any stage, if deemed necessary in our opinion, or if circumstances arise outside our control.
    • 7.4 We may amend these terms and conditions at any stage and in any way.
    • 7.5 These terms and conditions are governed by the laws of England and Wales and the English courts have jurisdiction.
